I work in medical billing, where I have to keep track of insurance claims, follow-ups, documentation, deadlines, and different tasks throughout the day. I'm interested in using Notion to create a more organized workflow instead of keeping everything across separate notes and spreadsheets.

For people who use Notion for work, what setup would you recommend?

Would you use separate databases for tasks and projects, or keep everything in one workspace?

I'm also curious about using relations, filters, reminders, and dashboard views to keep track of pending tasks and follow-ups.

What Notion features have made the biggest difference to your productivity, and are there any common setup mistakes beginners should avoid?

I'd appreciate examples from anyone using Notion for a busy professional workflow.

You asked about a billing workflow and whether dashboard views actually help with pending claims and follow-ups.

Two databases. Claims and Follow-ups. Not one table for the whole day.

Claims: payer, status (submitted / pending / denied / paid), due date. Follow-ups related back to the claim. The reminder is the date property, not a third database.

Then the page you open.

If the workspace is already on Business, add a Dashboard view on Claims. /dash, or + Add a view → Dashboard. Grid of widgets, 12 max, 4 per row. One widget pending claims, one this week’s follow-ups. It is $20 a seat. Plus does not have this view.

On Plus, skip that view. Make a normal page. /linked for claims filtered to not-paid. /linked for follow-ups this week. /chart if you want a count. A rollup cannot sit on a chart axis. Sharing that page does not give someone the Claims database. They still need access to it.

Beginner miss: one mega database, or a rollup you stare at instead of the rows.
